The management of product data is becoming more critical in today’s business environment. The need for global information collaboration is making product data maintenance more challenging. Being able to quickly locate and access accurate data is key. The issue facing many product data management leaders is how to "maximize data utilization while minimizing its maintenance"; making it easier to share information without rigid structuring requirements. The "smart" numbering systems, formatted file naming, drawing trees, and layers of file folders require formal procedures, strict adherence, and in many cases “tribal” knowledge, to be effective in helping people find the information they need. This in turn mandates significant levels of control and maintenance within a product data organization that is already stressed. Typically, these systems are only fully understood by the people who devise them; leaving the remainder of the organization to continually struggle with timely data access.

The answer is to transform the existing product data management processes while leveraging the resources currently in place. The establishment of part-centric data collaboration will concurrently improve data access while minimizing its maintenance. A "part-centric" structure negates the need for rigid file/data structuring. Its premise is that the part (an instance/label represented by a number) acts as the kernel of the data (package). Part defining objects, such as item master data, prints, bills-of-material, routings, and various reports are linked via active relationships, to provide straight-forward access. The only thing to remember is the part number; there is no other rigid structuring; see example below.

Through this deployment of Part-Centric methodologies, the entire organization can be transformed to leverage its resources to streamline the sharing of information. What was a fragmented collection of data, is now a high performing information network that enables world-class collaboration - "the right information at the right time".
